01Overview

Ehsaas is a Discord community and event-production team. This Privacy Policy describes how the Ehsaas team ("we", "us", "our") handles personal information across our website, our Discord server (discord.gg/ehsaas), our booking service and our official bot Rakshak.

We are a small, community-run team. We collect as little personal data as possible and never sell it to anyone.

02Information we collect

From the website

• Booking form data — server name, your name, Discord handle, email, event type, expected attendees, preferred date, budget and the event details you write in the message field.
• Contact form data — your name, email, topic and message content when you submit the contact form.
• Newsletter — your email address if you subscribe via the footer.
• Basic technical data — your browser type and approximate region, only if our hosting provider logs it for security purposes. We do not run analytics, tracking pixels or advertising trackers.

From Discord

• Discord profile data — username, user ID and avatar that Discord exposes when you join our server.
• Messages you post — only stored when staff need them for moderation logs or to handle a support ticket.

03How we use this information

• To respond to booking enquiries and produce events you've hired us for.
• To reply to contact-form messages and support tickets.
• To enforce our community rules (moderation, anti-spam, anti-raid).
• To send the occasional newsletter if you opted in (you can unsubscribe at any time).
• To keep the website and Discord server safe and operational.

We do not use your data for advertising, profiling or training AI models. Ever.

04Discord & Rakshak bot

When you use our Discord server, Discord Inc. is the primary data controller for your account. Their privacy policy applies to your account, messages and presence data on the platform.

Our official bot, Rakshak, follows least-privilege data use. It only processes the data required for enabled features (anti-nuke, moderation, automod, tickets, logs, voice/J2C, optional AI & music). It does not sell user data and does not use message content for advertising, profiling or AI model training.

05Sharing & third parties

We share information only with the providers that make the service work:

• Discord — for the community itself.
• Email providers (Gmail / Google Workspace) — when you contact support.ehsaas@gmail.com or we email you back.
• Hosting providers — for serving the website and storing booking-form submissions securely.

We do not sell, rent or trade personal information. We will only disclose information if legally compelled to do so by a valid legal request.

06Retention

• Booking enquiries: kept for up to 24 months for client follow-up, then deleted.
• Contact messages: kept for up to 12 months unless an ongoing issue requires longer.
• Newsletter emails: kept until you unsubscribe.
• Discord moderation logs: kept as long as needed for safety, typically 6–12 months.

07Your rights

You can ask us to:

• Access the personal data we hold about you.
• Correct anything that's wrong.
• Delete your data ("right to be forgotten") — we'll comply unless we're legally required to keep it.
• Unsubscribe from our newsletter.
• Withdraw consent for any optional feature.

To exercise any of these rights, email support.ehsaas@gmail.com with your request. We respond within 30 days.

08Children

Ehsaas follows Discord's minimum age policy: you must be at least 13 years old to use the server, the website or the bot. We do not knowingly collect personal information from anyone under 13.

09Changes to this policy

If we update this policy, the "Last updated" date at the top will change. Material changes will also be announced in the Discord server.

01Acceptance of these terms

By accessing the Ehsaas website, joining the Discord server, booking us for an event, or inviting Rakshak to your server, you agree to be bound by these Terms of Service ("Terms"). If you do not agree, please do not use the service.

02Who can use Ehsaas

• You must be at least 13 years old (or the minimum age required by Discord in your region).
• You agree to use the service in compliance with Discord's Terms of Service and Community Guidelines.
• You are responsible for the security of your own Discord account.

03Community rules

While participating in the Ehsaas Discord, the website forms or our events, you agree not to:

• Harass, threaten, dox, or discriminate against anyone for any reason.
• Post NSFW, illegal, hateful or violent content.
• Spam, advertise without permission, or attempt to raid the server.
• Impersonate staff, members or third parties.
• Exploit bugs, abuse bots or attempt to gain unauthorised access.

Staff may issue warnings, mute, kick or permanently ban accounts that break these rules. Decisions are at the discretion of the Ehsaas leadership.

04Booking & event production service

When you book Ehsaas to produce an event for your server, the following applies:

• Submitting the booking form is a request, not a confirmed booking. We will reply within 24 hours with a plan and quote.
• A booking is confirmed only when both sides agree in writing (Discord DM or email is fine) and any required payment is received.
• You are responsible for the accuracy of the information you provide (date, audience, theme, expectations).
• We reserve the right to decline or end any engagement that violates Discord's rules, our community rules, or that involves illegal content.

05Payment & refunds

• Prices for the Ehsaas Premium Event Plans (Starter, Plus, Pro, VIP) are listed on the Book Us page and may change for custom scopes.
• Payment must clear before the event date unless we agree otherwise in writing.
• Cancellations more than 7 days before the event: full refund minus any third-party costs already paid.
• Cancellations 2–7 days before the event: 50% refund.
• Cancellations less than 48 hours before: non-refundable (artists and hosts have already been booked).
• If we cancel due to our own fault, you get a full refund or a rescheduled event at no extra cost — your choice.

06Rakshak bot

Rakshak is provided as-is. By inviting it to your server you agree to its standalone Terms of Service and Privacy Policy. You are responsible for configuring Rakshak's permissions, modules and roles correctly inside your own server.

07Intellectual property

The Ehsaas name, logo, branding, website design, copy, and event concepts are owned by the Ehsaas team. Member-submitted content (messages, art, music) remains the property of its creator; by posting in our spaces you give us a non-exclusive licence to display it inside Ehsaas-run communities.

Third-party trademarks (Discord, etc.) belong to their respective owners.

08Disclaimers

The service is provided "as is". We do everything we reasonably can to keep things running smoothly, but we cannot guarantee uninterrupted availability of the website, the Discord server or Rakshak. To the maximum extent permitted by law, Ehsaas is not liable for indirect, incidental or consequential damages arising from use of the service.

09Termination

We may suspend or terminate your access to any part of the service if you violate these Terms, abuse staff, or harm the community. You can leave the Discord, unsubscribe from our newsletter or stop using the website at any time without notice.

10Changes & contact

We may update these Terms occasionally. Material changes will be announced in the Discord. For any questions about these Terms, email support.ehsaas@gmail.com.

01What are cookies?

Cookies are small text files stored on your device when you visit a website. They let a site remember things like your preferences. "Local storage" and "session storage" are similar technologies, all covered by this policy.

02What Ehsaas uses

The Ehsaas website is deliberately minimal. We only use the following:

• Essential / functional storage — your browser may store small bits of data (in localStorage) so that things like form drafts and last-visited page work properly. These are strictly necessary for the site to function and do not require consent.
• Theme & UI preferences — if you toggle anything UI-related in the future (theme, language), we may save that preference locally. This data never leaves your browser.

03Cookies we do not use

• Advertising or retargeting cookies.
• Cross-site tracking pixels.
• Analytics that profile you individually.
• Social-media "like" buttons that ping back to their owners.

04Third-party content

The site loads Google Fonts for the typefaces used in the UI (Unbounded & Plus Jakarta Sans). Google may log a request when your browser fetches a font file. This is the same as any other site that uses Google Fonts. No personal information beyond your IP address and user agent is shared.

Links to Discord and the Rakshak website open in a new tab; their own cookie policies apply once you leave Ehsaas.

05Managing cookies in your browser

You can control or delete cookies and local storage at any time through your browser settings:

• Chrome — Settings → Privacy and security → Cookies and other site data
• Firefox — Settings → Privacy & Security → Cookies and Site Data
• Safari — Settings → Privacy → Manage Website Data
• Edge — Settings → Cookies and site permissions

Note: blocking essential storage may break form drafts and some UI states.
